In the following section, every activity configuration is described in detail. The basic steps to configure activities in FireStart are:
- Assign Business Entity Fields to an activity and define inputs and outputs
- Configure activity
- Validate configuration (optional)
Start
Right-click the start and choose Edit event.
Select Business Entity from the left selection.
Select the Process context tab. In the title section, click the arrow next to the small cube and select Created by from the list.
The Created by field is a SharePoint system field. If it is not displayed, make sure the field is mapped to your Business Entity. For more information, see Connect SharePoint to FireStart.
Click OK to close.
The start element now shows the cube icon (as shown below) and is configured as a business entity start.
Assign Value - Update Status: In Progress
Right-click the activity and click Edit Workflow Bindings.
Click Business Entity Fields.
From the available business entities, select the business entity Travel expense list.
From the available fields, select the field Status. Add it to the right side by clicking the green arrow or by double-clicking the field and set the field to output (red arrow).
Confirm with OK.
Back in Edit Workflow Bindings, type In progress into the input field. Confirm with OK.
The first activity “Assign value – Update status: in progress” has been configured successfully.
Bing Distance - Calculate Travel Distance and Time
Right-click the activity and choose Edit Workflow Bindings.
Click Business Entity Fields.
From the available business entities select the Workflow Variables.
From the available fields select the fields Distance and Time. Add them to the right side by clicking the green arrow or by double-clicking the fields and set the fields to output (red arrow).
From the available business entities select the Travel expense list and add the fields Point of departure and Point of arrival from the available fields.
Confirm with OK.
Back in the Edit Workflow Bindings, set the outputs for Time span and Distance correctly.
To set the Start address, click the arrow next to the cube on the right side and select the field Point of departure.
To set the End address, click the arrow next to the cube on the right side and select the field Point of arrival. Confirm with OK.
The activity “Bing distance – Calculate travel distance and time” has been successfully configured.
Task - Check Travel Expense Report
Right-click the task and click Select business entity fields.
From the available business entities, select the Workflow Variables.
From the available fields, select the fields Distance, Time and Decision. Add them to the right side by clicking the green arrow or by double-clicking the fields and set the field Decision to output (red arrow).
From the available business entities, select the Travel expense list and add all fields except Status. Confirm with OK.
The task “Check travel expense report” has been configured successfully.
Condition
Right-click the condition and select Open condition editor.
Click Business Entity Fields.
From the available business entities, select Workflow Variables.
From the available fields, select the field Decision. Add it to the right side by clicking the green arrow or by double-clicking the fields. Confirm with OK.
Configure the condition accordingly. To add <True> click the cube and select True.
Click OK to close.
The configuration of the condition is now finished.
Note: Only the "True" condition must be configured, if this condition is not met the "False" path will be executed.
Assign Value - Update Status: Approved
Note: For a pictured description please see section Assign Value – Update Status: in progress.
Right-click and choose Edit Workflow Bindings.
Click Business Entity Fields
From the available business entities, select the business entity Travel expense list.
From the available fields, select the field Status. Add it to the right side by clicking the green arrow or by double-clicking the field and set the field to output (red arrow).
Confirm with OK.
Back in Edit Workflow Bindings dialog, type “approved” into the input field. Confirm with OK.
The activity “Assign value – Update status: approved” has been configured successfully.
Assign Value - Update Status: Rejected
Remark: For a pictured description please see section Assign Value – Update Status: in progress.
Right-click and choose Edit Workflow Bindings.
Click Business Entity Fields.
From the available business entities, select the business entity Travel expense list.
From the available fields, select the field Status. Add it to the right side by clicking the green arrow or by double-clicking the field and set the field to output (red arrow). Confirm with OK.
Back in Edit Workflow Bindings dialog, type “rejected” into the input field. Confirm with OK.
The first activity “Assign value – Update status: rejected” has been configured successfully.
Assign Value - Update Travel Distance and Time in SharePoint
Remark: For a pictured description please see section Assign Value – Update Status: in progress.
Right-click and choose Edit Workflow Bindings.
Click Business Entity Fields.
From the available business entities, select the business entity Travel expense list.
From the available fields, select the fields Travel time and Mileage. Add it to the right side by clicking the green arrow or by double-clicking the fields and set the fields to output (red arrow).
From the available business entities, select Workflow variables.
From the available fields, select the fields distance and time. Add it to the right side by clicking the green arrow or by double-clicking the fields. Confirm with OK.
Back in Edit Workflow Bindings dialog, set one output to Mileage, the other to Travel time. In the input fields, click the cube and select the corresponding workflow variables, Distance and Time. Confirm with OK.
The activity “Assign value – Update travel distance and time in SharePoint” has been configured successfully.
End
The end element does not require configuration.
Click Save to store all changes.
Before putting your workflow to first use, select the top ribbon menu Publish, and click on Validate Process.
"No errors found." Great!
Click on Deploy Process in the top ribbon menu Publish.
