Process Portal - Modules

Note: Only published models are displayed in the Process Portal. If you cannot find a specific model in the Process Portal, this might be the reason.


Processes

The Process Designer is the central and most comprehensive module of the Process Portal. The modeled business processes and the expansion of these models through the use of the elements created by other designers can be shown in the Processes module. 


Process Maps

With a process map, you can generate a graphic overview of all of your business processes and their subsequent connections. The process map can be used as a structural frame for process managing. In the Process Maps module, you have the opportunity to display the structure of the existing processes and their respective sub-processes. Roles

An internal business function is described as a role. According to the divisional structure of your business, these roles can be grouped together. The individual roles can be assigned to specific tasks in the Process Designer. Relevant people are automatically linked to the model from the businesses own Active Directory, therefore saving extra time and work.


Documents

It shows the documents relevant to your processes. The documents can consist of Excel Spreadsheets, Word Documents, PDF and image data. The elements created in the Document Designer are only representations of the document and act as links to the actual document. Whole documents or document content can be exchanged through the central administration, avoiding the need to edit individual processes or process maps.


Domains

You can organize your business activities into groups on business or industry-specific terms (Domains) and then manage them using the Domain Designer. In the domain module, these created domain models can be displayed. With domains are meant product groups or cost centers.


Risks

You can view specific risk response actions and their instructions such as drill routines. With risk management, you can protect your business from risks by providing information on possible alternative processes. This process means a vulnerable process can be displayed in a clear way.


Business Entities

Created and published business entity models are displayed in this module. Business entities provide support when creating a workflow. With business entities, you can bind data from a third party system like SharePoint or a database to an element, which is often very helpful for the execution of workflows.


IT Systems

The IT-system and business facilities can be shown in the IT-system module. IT-systems consist of various digital devices, software applications, and data structures. The individual IT-system components can be attached to specific tasks in a process, in order to illustrate each systems functions and their respective system affiliations.


Tasks

When executing a new process, the people concerned will receive tasks with a need to be completed, approved and submitted for the workflow. Exactly these tasks can be found over the Process Portal as well. As soon as a task is completed, the task won't be shown anymore. 


Startable Processes

In this module, all processes which are deployed and published are shown. This module enables to start a workflow directly over the Process Portal. If you want to manually start a workflow this is quite useful, as you only need an Internet connection and you don't have to extra start the FireStart client.


Workflows

This module focuses on the executions of workflows. In the model directory, you can read about the current progress, the running time and the estimated duration of a process. Workflows are only shown in the Process Portal if the process which will be executed is published. If the version of the process changes, the executions of the older version will still be displayed, provided that the process with the old version is not explicitly unpublished. Finished executions can be displayed with a filter. 


Notifications

In Notifications basically, all messages are shown. Before receiving a task, there is always a notification sent to you, which you can find in the Notifications module. If another user sends you a notification, you can also view it in the Notifications.
